WEFTEC 2012

 

Thank you to those WEFTEC 2011 exhibitors who attended their appointments at the Onsite Sales Office in Los Angeles to book exhibit space for WEFTEC 2012 in New Orleans.

Please refer to the following for important dates regarding booth assignments for WEFTEC 2012:

WEFTEC 2011 exhibitors that booked exhibit space onsite in Los Angeles will receive a booth assignment confirmation and invoice by January 1, 2012. Your 25% deposit payment is due by January 31, 2012. Exhibitors that booked onsite have the opportunity to request booth moves by emailing weftecsales@wef.org. Booth moves will take place starting December 1st. Exhibitors wishing to cancel or change their space must do so in writing and are subject to cancellation and downsize fees as outlined in the WEF License Agreement.

The Second Advance Round will occur in December 2011. The Second Advance Round allows past WEFTEC exhibitors that did not book at Onsite Sales in Los Angeles or who were not in WEFTEC 2011 to use their priority points to book space. Only companies that hold priority points can book during the second round. If you wish to book in the second round, simply complete the 2012 Space Reservation Form and Contract and sumbit by December 31, 2011. All contracts received by the deadline will be put in order by priority points and assigned starting January 3. Contracts received after the deadline will be assigned starting Fedruary 1, 2012

Booth sales for new exhibitors will open February 1, 2012.

Exhibitors are required to review the license for exhibit space prior to signing the space reservation & contract. Additionally, the exhibitor agrees to all the terms and conditions of the license.

WEFTEC Delivers Results for Exhibitors

How to Reserve Space

Print out, complete, and sign the Exhibit Space Reservation and Contract (PDF) or fill out the online Exhibit Space Reservation and Contract only if you have a credit card to provide for payment. A 25% deposit is due with the reservation form. After May 1, full payment must accompany the reservation. 

WEF accepts payments via credit card, check or wire transfer.

How Much

(Please note: the Federation has several types of memberships, including Professional, Corporate, and Exhibitor. Only Exhibitor Members receive the discount on exhibit space.)

 $31 per square foot  additional $200 per corner 
Non-Members  $37 per square foot additional $200 per corner

What’s included in the booth space fee? 

  • Standard drapery - 8’ high back drape and 36” high side dividers (except island booths). Shared Island booths will have 3’ high drape separating the booths.
  • Company identification sign on your booth (except island and shared island booths)
  • Complimentary booth personnel badges (4 per 100 sq. ft. rented)
  • One copy of the conference proceedings on CD-Rom
  • Company profile listed in WEF publications, WEFTEC.org and Conference Programs*
  • Complimentary pre- and post-show attendee lists
  • Online Exhibitor Service Manual

 *Contingent upon date of signed contract and print deadlines

The exhibitor is responsible for providing all booth furnishings including carpet. Additionally, electricity and other utility connections are the responsibility of the exhibitor.

How Will Space be Assigned

Reservations with payments will be assigned in the order of date received.
If the requested space selections are not available, the “next best available” space will be assigned. 

When Will Space be Assigned 

Space assignments will be mailed within two weeks of receipt. Final payment of any balance is due no later than May 31.

Space Availability

The minimum size is 10’ x 10’. We can create just about any size you need, 10’ x 10’ through 50’ x 80’ if you need it!

Booths in sizes 10’ x 20’, 10’ x 30 or other widths with a 10’ depth may be created by combining the appropriate number of 10’ x 10’ spaces. Island spaces will not be created by combining 10’ x 10’ spaces unless there is an inadequate supply of a size.
